International, Graduate and Extended Education (IGEE) is a department under the direction of the Vice Provost of International, Graduate and Extended Education within the Academic Affairs division. The International Center provides leadership and coordination for international activities and serves as the principle catalyst for internationalization efforts at Cal Poly. Graduate Education promotes excellence in practice-oriented professional graduate programs and Extended Education provides a way to earn college credit, acquire skills, enjoy hobbies and enhance career opportunities, which supports Cal Poly's outreach mission by providing access to the intellectual resources and services of the University.
IGEE Marketing provides a variety of marketing services to IGEE. Under general direction of the Marketing Director this position is responsible for administering the project management software platform (PODIO), including tracking requests, assigning work projects, reviewing work and quality assurance, and monitoring time spent. This position is responsible for creating and maintaining time and expense reporting for IGEE Marketing, including obtaining quotes, scheduling printing, sourcing products for events, and coordinating purchasing. This position executes general marketing research projects through Burning Glass and other areas. This position supervises a large staff of student interns including assigning, scheduling, and reviewing their work, and participating in student hiring decisions. This position also provides full administrative support to the department and Marketing Director.
The following examples illustrate typical work activities and are not meant to be all inclusive or restrictive:
Serve as the primary contact for IGEE Marketing to university members, general public, and vendors.
Perform research, analyses and make recommendations for special projects, events or policies and procedures.
Oversee project management software (Podio) to organize, prioritize and assign work projects for all IGEE marketing needs, including print, digital, film and the website.
Supervise large staff of IGEE marketing student interns, provide training, create student work calendars, task work projects, schedule workload, review and approve work product, and participate in student hiring decisions.
Coordinate printing with several vendors, negotiate and obtain quotes, schedule work, and approve output.
Assist with marketing events, and ensure all requested printed and promotion materials across the IGEE spectrum are completed correctly and timely.
Prepare budgets for program marketing and build timelines and action plans; research list purchasing with recommendations for segmentation and selection.
Perform primary research in Burning Glass for program marketing plans and provide recommendations related to data results.
Source multiple products for special events, obtain quotes, present options, order and inventory products.
Create business process guides for department workflow.
Maintain marketing share drive files and hard copy filing system.
Administer purging, retention, and protection of computer files and conventional records.
Provide full administrative support to Marketing Director, monitor and maintain calendar, schedule meetings, maintain financial files.
Provide backup support, capable of using Customer Relationship Management system software.
Perform other job-related duties and special projects as assigned.
Attend training and maintain skill currency as appropriate to safely and effectively complete assignments.
Minimum Qualifications (Staff Only):
High school diploma or its equivalent. Type 45 wpm. Five years of general office support or technical experience. (Training at a vocational school or full-time college education may be substituted for two years of the required experience on the basis of one year of college education for 6 months of experience)
Demonstrated ability to perform detailed work with a high degree of accuracy and efficiency, using sound judgement and professional integrity.
Working knowledge of budget policies and procedures.
Ability to perform business math, analyze budgetary data, and make accurate projections requiring some inference.
Ability to analyze operational and procedural problems and develop, recommend, and evaluate proposed solutions.
Ability to effectively write and present own reports.
Ability to use negotiation and persuasion skills to achieve results and expedite projects.
Ability to evaluate, make recommendations for improvements and document internal business processes.
Ability to understand problems from a broader perspective and anticipate the impact of office administration problems and solutions on other areas.
Ability to troubleshoot most office administration problems and respond to all inquiries and requests related to work area.
Ability to train and provide lead work direction.
Demonstrated customer service experience requiring a very high level of diplomacy and professionalism.
Ability to use tact and diplomacy to effectively handle a broad range of high level and sensitive interpersonal situations with diverse personalities, and to respond appropriately to conflicts and problems.
Ability to initiate, establish, and foster communication and teamwork by maintaining a positive, cooperative, productive work atmosphere in and outside the University with the ability to establish and maintain effective working relationships within a diverse population and with those from various cultural backgrounds.
Excellent communication skills; ability to effectively communicate information in a clear and understandable manner, both verbally and in writing.
Thorough mastery of English grammar, spelling and punctuation.
Ability to interpret, apply, and communicate policies and procedures independently, and use judgment and discretion to act when precedents do not exist.
Demonstrated ability to maintain a high degree of confidentiality.
Excellent organizational and time management skills with the ability to set own priorities to coordinate multiple assignments with fluctuating and time-sensitive deadlines.
Excellent computer skills and proficiency with a variety of computer applications including word-processing, spreadsheets, databases, on-line systems, Internet as well as online calendaring and email.
Working knowledge of or ability to quickly learn University infrastructure, policies and procedures.
Experience with Microsoft Office Suite.
Experience with workspace collaboration software like Podio, and CRM software like MailChimp or Hobsons.
Demonstrated skills in an institutional/educational environment utilizing a customer-oriented and service-centered attitude.

Must be willing to travel and attend training programs off-site for occasional professional development.
Must be able to work overtime, occasional holidays, and adjust working hours to meet special jobs. May be called back periodically to perform work as needed on an emergency basis.

This position classification has been defined as non-exempt and is subject to overtime provisions of the Fair Labor Standards Act (FLSA).
